Who we are

aactuali (Adar Avrutzky, Israel) builds and maintains AI agents for businesses, used through WhatsApp. The client (the business owner) owns the data. aactuali processes it on the client's behalf and instructions, only to operate that client's agent.

Data the agent processes

Messages, files, photos and voice notes the client sends to the agent on WhatsApp; documents the client provided at setup; if the client connects it, the client's own WhatsApp chats (read only); and if the client connects their Google account: Gmail messages and attachments, Google Calendar events, and contacts (read only).

How we use Google user data

Gmail (scope gmail.modify): read messages and attachments to answer the client's questions; create a draft only when the client asks. The agent never sends, deletes, forwards, moves or labels email. Google Calendar (scope calendar): read events; create, change or delete an event only after the client approves the exact details on WhatsApp, once. Contacts (read only): identify senders. The client can revoke access at any time in their Google Account under "Third-party apps and services".

aactuali's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide the agent's user-facing features to the client who connected it. It is not used for advertising, not sold, not transferred to others except the processors below as needed to provide the service, not used to train AI models, and not read by humans except with the client's consent for support, for security purposes, or as required by law.

Where data is stored

Each client has a separate server with a hosting provider in the European Union (Hetzner, Germany). One client's data is never accessible to another client. Technical access is limited to the service operator, for setup, maintenance and support.

Processors

Anthropic (Claude, the model the agent reasons with, through an account in the client's name); Google (Gemini, voice-note transcription); WhatsApp (Meta, the messaging channel); Hetzner (server hosting).

Retention and deletion

Data is kept on the client's server while the service is active. The client may ask at any time to delete specific data or all of it. When the engagement ends, the data and the server are deleted within 30 days, unless the client asks to receive them first.
